The full process, from a message to payment

1. The prospect arrives on WhatsApp and the AI qualifies them
When someone writes "Hi, I'd like to know if you can build a system for my company", the AI replies immediately, identifies the person and the company, asks the discovery questions and decides whether there is a sales opportunity. What it learns is stored as a lead or opportunity in the Odoo CRM.

The sales lead no longer reviews conversations one by one: they ask the AI "which qualified prospects are pending?" and the AI queries Odoo.
2. Meeting and scope: AI does not replace consultative selling
Once the prospect is qualified, the AI coordinates the schedule and records the meeting on the opportunity. The meeting is still where the important things are defined: problem, goals, scope, integrations, users, timelines, constraints and budget. The AI's job is to turn what was agreed into structured data to prepare the proposal.
3. Quotes and follow-up in Odoo
With the opportunity's context, the AI prepares the quote in Odoo ("prepare the quote for Company X based on what we agreed in the meeting"). A person reviews and approves it before it is sent.
Then comes the stage where most sales are lost: follow-up. The AI queries Odoo and answers questions like:
- Which quotes have had no reply for more than a week?
- Which opportunities are pending?
- Which prospects need follow-up today?
4. Sale, project, invoice and payment
When the client accepts, the opportunity moves to a sale and the information flows into the project without being entered again. For simple projects, Odoo's Project module tracks tasks, owners, dates and progress, and the AI is the interface again: "which projects have overdue activities?".
On the administrative side, the AI requests the client's billing details, looks up invoices, amounts and balances, and helps record payments that arrive as a receipt (for example, a bank transfer sent over WhatsApp), always confirmed by a person. In Mexico, the electronic invoice (CFDI) is issued from Odoo with its Mexican localization.
So the team can ask "how much does Company X owe?" or "which clients have outstanding balances?" and the answer comes from Odoo, which remains the source of the data.

How it connects: the technical side in brief
- WhatsApp: Meta's official WhatsApp Business API, with a verified number.
- Odoo: the AI works through Odoo's external API with a technical user and scoped permissions; it only sees and changes what its role allows.
- Traceability: every lookup and record made by the AI is logged and kept in Odoo's history.

Do I need the official WhatsApp API?
Yes. We work with Meta's official WhatsApp Business API and a verified number.
Does it work with Odoo Community and Odoo Enterprise?
The integration uses Odoo's external API, available in both editions. On Odoo Online, access to the external API depends on your plan; we check it during the diagnosis before proposing a solution.
Can the AI close sales or record payments by itself?
No. The AI prepares quotes and proposes payment records, but prices, discounts, quotes and payments are approved by a person. The AI only acts within the permissions assigned to it in Odoo.
How much does it cost to send WhatsApp messages?
